HomeMy WebLinkAboutResolution - 092953I - Records Managment Proceedures - City Secretary - Microfilm, Etc. - 09_29_1953 R E S O L U T I O N W HER EAS a necessity exists for the photographic duplication of the public records, letters, memoranda, etc. for the purpose of recording, pre- serving and protecting the same and.for the purpose of reducing space required for filing, storing and safekeeping of the same; and, WHEREAS, Article 6574b, Vernon's Civil Statutes, provides for the duplication of public records and the disposition of the original records; and, WHEREAS, the City Commission deems it expedient to microfilm their public records, letters, memoranda, etc. ; THEREFORE ,, BE IT RESOLVED BY THE CITY COMMISSION OF THE CITY OF LUBBOCK: SECTION 1. That the City Secretary shall be responsible for the control and direction of the microfilming of any and all public records, letters and memoranda more than five (5) years old, and said City Secretary shall supervise the duplication of such records, which shall be checked, approved and certified. to as being correct and legible copies of the original records of that office. i SECTION 2. Said photographic_•duplicates of all records microfilmed shall be placed in conveniently accessible files-and provision shall be made for preserving, safekeeping, using,' examining, exhibiting, projecting and enlarging the same whenever requested during regular office hours. SECTION 3. The original records which are microfilmed shall be destroyed or otherwise disposed of, provided that notice of destruction or dis- position of original,public records shall first be given to the State Librarian. SECTION 4. Nothing in this resolution shall authorize the destruction or disposition of any deed record, deed of trust record, mechanic Is lien record, or any minute book, or any ordinance book. SECTION 5. The City Secretary may make a charge of $ 1.00 per page for the duplication of public records requested by the general public. SECTION 6. Said photographic duplicates of public records shall be deemed to be an original record for all purposes, including introduction in all courts or administrative agencies. A. transcript, exemplification or certified copy thereof shall, for all purposes recited herein, be deemed to be a trans- cript, exemplification or certified copy of the original.
